About the Role
We are looking for a highly organised and professional Office Administrator to join our growing plumbing, heating and gas engineering business. The successful candidate will be responsible for supporting the day-to-day operations of the company, ensuring customers receive excellent service and engineers are efficiently scheduled.
This is a key role within the business and requires strong communication skills, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities
* Answer incoming telephone calls professionally and courteously.
* Manage customer enquiries via phone, email and online platforms.
* Schedule appointments and engineer workloads using company software.
* Raise quotations, invoices and customer correspondence.
* Maintain accurate customer records and job information.
* Monitor and update job progress from booking through to completion.
* Process customer payments and maintain payment records.
* Follow up outstanding quotations and unpaid invoices.
* Coordinate annual boiler service reminders and maintenance contracts.
* Order office supplies and assist with supplier communications.
* Handle customer complaints professionally and escalate where necessary.
* Support management with administrative and reporting duties.
* Assist with marketing activities, customer reviews and social media updates where required.
Essential Requirements
* Previous administration or office experience.
* Excellent telephone manner.
* Strong organisational skills.
* Good IT skills including Microsoft Office.
* Ability to multitask and prioritise workload.
* High attention to detail.
* Professional appearance and attitude.
* Ability to work independently and as part of a team.
Desirable Requirements
* Experience within the plumbing, heating, construction or service industry.
* Experience using CRM or job management software such as Jobber, HubSpot, Commusoft or Tradify.
* Knowledge of boiler servicing, plumbing or heating terminology.

* Ensure calls and emails are responded to promptly.
* Keep customer records accurate and up to date.
* Support engineers in achieving maximum productivity.
