Job Title: Admin Staff (HR-Focused)
Department: Administration / Human Resources
Reports To: Admin Manager / HR Manager

𝙅𝙤𝙗 𝙎𝙪𝙢𝙢𝙖𝙧𝙮
The Admin Staff (HR-Focused) is responsible for supporting day-to-day human resource and administrative functions of the company. This role ensures efficient recruitment, proper documentation of employee records, compliance with company policies, and accurate payroll coordination. The position plays a key role in maintaining workforce organization, particularly in a construction environment with project-based manpower.

𝙆𝙚𝙮 𝙍𝙚𝙨𝙥𝙤𝙣𝙨𝙞𝙗𝙞𝙡𝙞𝙩𝙞𝙚𝙨
1. 𝙍𝙚𝙘𝙧𝙪𝙞𝙩𝙢𝙚𝙣𝙩 & 𝙊𝙣𝙗𝙤𝙖𝙧𝙙𝙞𝙣𝙜
Assist in sourcing, screening, and scheduling applicants for both skilled and unskilled construction manpower.
Coordinate with project managers/site engineers regarding manpower requirements.
Prepare pre-employment requirements and ensure completeness of employee documents.
Facilitate onboarding and orientation of new hires.

2. 𝙀𝙢𝙥𝙡𝙤𝙮𝙚𝙚 𝘿𝙤𝙘𝙪𝙢𝙚𝙣𝙩𝙖𝙩𝙞𝙤𝙣 & 𝘾𝙤𝙣𝙩𝙧𝙖𝙘𝙩𝙨
Prepare, issue, and monitor employment contracts (project-based, probationary, regular).
Maintain and update employee 201 files (physical and digital).
Ensure all records are accurate, complete, and properly filed.

3. 𝙀𝙢𝙥𝙡𝙤𝙮𝙚𝙚 𝙎𝙩𝙖𝙩𝙪𝙨 𝙈𝙤𝙣𝙞𝙩𝙤𝙧𝙞𝙣𝙜
Track employee probationary periods and project durations.
Notify immediate superiors regarding employees due for regularization.
Assist in processing status changes, renewals, and end-of-contract documentation.

4. 𝙋𝙤𝙡𝙞𝙘𝙮 𝙄𝙢𝙥𝙡𝙚𝙢𝙚𝙣𝙩𝙖𝙩𝙞𝙤𝙣 & 𝙀𝙢𝙥𝙡𝙤𝙮𝙚𝙚 𝘿𝙞𝙨𝙘𝙞𝙥𝙡𝙞𝙣𝙚
Demonstrate thorough knowledge of company policies, rules, and regulations.
Monitor employee compliance and attendance.
Document incidents, violations, and disciplinary actions.
Assist in the issuance of notices (NTEs, memos, etc.) in coordination with HR/Admin Head.

5. 𝙋𝙖𝙮𝙧𝙤𝙡𝙡 𝘾𝙤𝙤𝙧𝙙𝙞𝙣𝙖𝙩𝙞𝙤𝙣
Assist in the preparation and consolidation of payroll data (attendance, overtime, allowances).
Coordinate with accounting/payroll team to ensure accuracy and timeliness of salary release.
Address basic payroll concerns and discrepancies of employees.

6. 𝘼𝙙𝙢𝙞𝙣𝙞𝙨𝙩𝙧𝙖𝙩𝙞𝙫𝙚 𝙎𝙪𝙥𝙥𝙤𝙧𝙩
Maintain HR trackers (attendance, leave, manpower deployment, etc.).
Support daily administrative operations and reporting requirements.
Coordinate with various departments for HR and admin-related concerns.

At ICS, you are expected to champion a culture of safety, ensure strict compliance with occupational health and safety standards, and proactively protect the well-being of all personnel across our project sites.

𝙆𝙚𝙮 𝙍𝙚𝙨𝙥𝙤𝙣𝙨𝙞𝙗𝙞𝙡𝙞𝙩𝙞𝙚𝙨:
- Implement and monitor site-specific Health, Safety, and Environment (HSE) programs in compliance with Philippine regulations and ICS standards
- Conduct daily site inspections, hazard identification, and risk assessments (HIRAC)
- Enforce safety policies, procedures, and proper use of Personal Protective Equipment (PPE)
- Lead toolbox meetings, safety orientations, and continuous safety awareness programs
- Investigate incidents, accidents, and near misses; prepare detailed reports with corrective and preventive actions
- Ensure compliance with DOLE and OSH requirements, including documentation and reporting
- Coordinate with project managers, engineers, and subcontractors to integrate safety into all construction activities
- Maintain and monitor safety records, permits, and certifications on-site
- Act as the first responder during emergencies and ensure readiness of first aid and emergency protocols
- Support ICS in maintaining a zero-incident culture across all projects

𝙌𝙪𝙖𝙡𝙞𝙛𝙞𝙘𝙖𝙩𝙞𝙤𝙣𝙨:
- Graduate of any Bachelor’s Degree
- At least 2 years of experience in the construction industry as a full-time Safety Officer
- Certified Safety Officer 2 (SO2) With updated and valid trainings:

1. COSH (Construction Occupational Safety and Health)
2. LCM (Loss Control Management)
3. HIRAC (Hazard Identification, Risk Assessment, and Control)
4. First Aid Training

- Other relevant safety certifications are an advantage
- Strong knowledge of Philippine OSH standards and DOLE regulations.
- Excellent communication and leadership skills
- Detail-oriented with strong documentation and reporting abilities
- Willing to be assigned within and outside Metro Manila

-Assist with loading and unloading of materials or equipment when necessary.

-Keep accurate records of vehicle mileage, fuel consumption, and maintenance schedules.
-Be available for extended hours, emergency assignments, and stay-in arrangements as required by company operations.
